Fall 2008 CONVOCATION CEREMONIES
For students who have met their requirements to graduate at the end of August 2008
The deadline to apply to graduate is Friday, September 5, 2008.

Ceremony Details
In order for the ceremony to be conducted in a dignified manner, suitable for such a special occasion, the full cooperation of the graduand is requested by the Convocation staff.
Graduands must meet at the designated area (as identified to you in the Convocation instructions) ONE HOUR prior to the ceremony to:
1. register. 2. receive a gown. 3. establish the procession order for the ceremony.
NOTE: IF YOU ARE UNABLE TO ARRIVE AT THE DESIGNATED TIME, IT MAY NOT BE POSSIBLE TO SEAT YOU WITH YOUR CLASSMATES.
All graduands are expected to wear a ceremonial black gown and are prohibited from wearing hats, pinning anything to your gown, and carrying anything into the Theatre at the time of the ceremony (i.e. cell phones, cameras, purses, pictures, flowers, food or drink).
Ten minutes prior to the start of the ceremony, graduands will be ushered into the Theatre, two abreast, in a predetermined order and will remain standing until the Prayer (Invocation) is concluded. Ushers will assist graduands through the formal part of the ceremony.
The ceremony lasts approximately 1.5 hours and graduates must remain in the Theatre until the conclusion.
Graduates must return to the area where they registered for the Convocation in order to return their gown and liripipe. Graduates will be charged for items not returned. ($50.00 for the gown and $25 for liripipe)
Liripipe may be purchased after the ceremony for a cost of $25.00.

Convocation Tickets
All potential graduates will receive an instruction letter and Ticket Request Form approximately six weeks prior to Convocation. Tickets will be mailed only to those CLEARED by their academic departments to graduate. Please make sure that you do not misplace these tickets; due to limited seating in the Theatre it may not be possible to issue you replacement tickets. Please refer to your instruction letter for information regarding extra tickets.
While we do understand that you may require additional tickets to accommodate your family, we do have limited seating and, in fairness to all Graduates and their guests, we must limit the number of tickets distributed.

Upon receipt of a diploma, graduates are entitled to use a designation, as described below, after their names:

Late Grad
A "Late Grad" is a student who was initially registered in but, for various reasons, has not been able to complete a Post Secondary program within the specific time frame as defined in their program of study. The student may decide to complete the program requirements through Day School or Continuing Education. It is the responsibility of these students to identify themselves to the Registration Centre, once they have completed all program requirements, by filling out the "Application to Graduate". This form is also available from the Registration Centre in Room C066 at Fennell Campus or from the Student Services office located at your campus.
NOTE: It is the responsibility of the academic area for your program of study, to determine whether all course requirements have been met in a timely fashion. This is to ensure that all graduates are sufficiently prepared before working in their chosen field. In some situations it may be necessary for students to complete additional course requirements before being qualified to receive their Diploma/Certificate. Therefore, if the time in which you feel that you have completed your course requirements exceeds 1 year from when you were registered in your last semester, please contact your academic area.

Post Secondary Convocation Checklist
Once you have reached the final semester in your program of study and you anticipate you will be eligible to graduate, you MUST complete an “Application to Graduate”. The form is available here, at the Registration Centre (C066) at the Fennell Campus, or at the Student Services Offices at IAHS, Brantford and Stoney Creek Campuses. The “Application to Graduate” must be returned to the Registration Centre (C066) at the Fennell Campus by the due date listed above.
It is extremely important that you ensure the following:

Have you successfully completed all courses in your program of study?
You can verify this through MocoMotion (please be aware that this procedure only applies to students registered in post secondary programs). The information provided through this application will identify your completed courses, those in which you are currently enrolled, course(s) still to be taken and other course activity.

Students who do not complete their program of study as scheduled will fall into the category of "Late Grad" once they have completed all their course requirements.
Do you have any outstanding liabilities?
Liabilities incurred by you at the College must be paid in full prior to your Convocation Ceremony or your Diploma/Certificate will be withheld. Your financial record can be checked through MoCoMotion.
Is your mailing address correct on your student record?

Are you on the graduation list?
You will be receiving a Convocation instruction letter by mail 4 to 6 weeks prior to Convocation detailing how to access the graduation list.
It is YOUR responsibility to check the Graduation List to ensure you have been cleared to graduate. Please confirm the spelling of your name, program name, honors status and co-op designation if applicable. NOTE: Only the names that appear on the graduation list will be graduating at the upcoming Convocation. If your name is not on the list and you are anticipating that you will be receiving your Diploma/Certificate at the upcoming ceremony, please contact your academic area immediately.

Terminology
Graduand: Designation for a student prior to receiving their Diploma or Certificate. Convocation: Official ceremony for Post Secondary Diploma and Certificates Graduates. Liripipe: The Liripipe was first used in Europe during the Middle Ages as a mark of distinction. A Master would take the tail (or Liripipe) of his Master's Hood and present it to his student as a recognition that the student has successfully completed his training period, and was now accepted into the Guild. Late Grad: A student who was initially registered in but, for various reasons, has not been able to complete a Post Secondary program within the specific time frame as defined in their program of study.

Unable to Attend the Ceremony
If you are not planning on attending your Convocation ceremony, you must still fill out the "Application to Graduate" form and submit it to the Registration Centre. Failure to do so will result in you not receiving your diploma/certificate. This form is also available from the Registration Centre in Room C066 at Fennell Campus or from the Student Services office located at your campus.
Diplomas/Certificates will be mailed out approximately two weeks after the date of the ceremony to those individuals who were not in attendance. |
